Checking The Warehouse Status (Stock Situation)

Checking The Warehouse Status (Stock Situation)

Sometimes we may need to know a specific warehouse’s stock condition.
Therefore, from the Main menu / button warehouse / button warehouse status, we access the window Listing and
managing existing materials of a certain warehouse.
In the field select the warehouse , we select the warehouse whose status we would like to know. The system automatically
creates a chart with all the materials/resources maintained in that warehouse and which have stock control; that is, only
products having stock control will be listed from the warehouse inventory, therefore excluding other products.
For each product, the chart provides the following information:
• product description or name
• manufacturer
• model
• external reference (usually the supplier’s)
• bar-code
• category and subcategory
• current stock.
• total amount of the product maintained in that warehouse at purchase price
• minimum stock. The minimum stock level can be established when a product is registered (this process is explained
in the chapter creating a product of this user manual), or when we query the status of a warehouse (as explained
in the chapter modifying a product of this user manual). Be aware that when the product has reached the minimum
stock level, the system sends an automatic email to the warehouse manager informing of that condition.
• maximum stock. The maximum stock level can be established when a product is registered (this process is
explained in the chapter creating a product of this user manual), or when we query the status of a warehouse (as
explained below).
Additionally, this chart provides further information of interest, such as the total amount (at purchase price) of all the products
with stock control enabled in this warehouse.

From this window we carry out certain operations such as:
• if necessary, modify the current stock of materials maintained in that warehouse (for example, after inventorying).
• modify the minimum stock level if required
• modify the maximum stock level if required
• eliminate the product. We have to be aware that if we delete a product, it is completely removed, that is, we
eliminate it from ALL the warehouses (since the products are not linked to a particular warehouse). If we want to
delete a product from a specific warehouse, we only have to transfer all its stock from that warehouse to another.
• export all the information to an Excel file in the case of doing an inventory, for example.
Remember that all the carried out stock modifications are recorded to ensure the correct tracking of the products.
